VAT Filing Guide

Complete guide to filing your VAT return with the Bahamas Department of Inland Revenue (DIR)

This is a quick-reference summary. For the full, up-to-date VAT returns guide visit the VAT Returns guide .

Filing Overview

In The Bahamas, Value Added Tax (VAT) registered businesses must file periodic VAT returns with the Department of Inland Revenue (DIR). Your filing deadline depends on your large-taxpayer status:

Registrant Type Turnover Filing Deadline
Large Taxpayer B$5,000,000 or more 14 days after end of tax period
Standard Registrant Under B$5,000,000 21 days after end of tax period
Large-taxpayer status may also be assigned by the Comptroller on other grounds.
Filing Frequency: Your tax period and filing frequency are determined by the Comptroller. Filing frequency (monthly, quarterly, etc.) is not derived from your turnover.

The 5-Step Filing Workflow

CoralLedger Comply guides you through a simple 5-step process to ensure your VAT return is complete and accurate:

Transaction Review

Review all transactions for the filing period. Ensure all sales and purchases are correctly categorized and VAT amounts are accurate.

Verify transaction dates fall within the period

Check VAT classifications (standard, zero-rated, exempt)

Review any flagged transactions for data quality issues

Step 1
VAT Validation

The system automatically validates your VAT calculations according to Bahamas VAT rules.

Verify Output VAT (VAT collected on sales) is correct

Verify Input VAT (VAT paid on purchases) is claimable

Calculate Net VAT (Output - Input = payable or refund)

Step 2
Document Generation

Generate the official VAT return documents required by the DIR.

VAT Return Form (PDF) - summary for your records

XML Submission File - for electronic filing

Transaction Listing - detailed breakdown

Step 3
Approval

Review the final return and approve for submission. This step requires an authorized signatory.

Important: Once approved, the return cannot be modified. Ensure all figures are correct before approval.
Step 4
DIR Lodgement

Lodge your return with the Department of Inland Revenue through their online portal.

Upload the XML file to DIR e-Services portal

Record the acknowledgement number in CoralLedger

Download your filing receipt for your records

Make payment if VAT is payable

Filing Receipt: After submission, a confirmation dialog will appear with a button to download your filing receipt. You can also download it later from the Filing History section.
Step 5

Common Issues & Solutions

My Net VAT is negative - what does this mean?

A negative Net VAT means you've paid more VAT on purchases than you've collected on sales. This results in a VAT refund from DIR. This is common if you've made large capital purchases or export a significant portion of your goods/services (which are zero-rated).

Action: File your return as normal. DIR will process your refund claim. Ensure you have proper documentation for all zero-rated supplies.

I missed my filing deadline - what should I do?

File as soon as possible. A late return attracts the late-filing fine (§47A(3)(a)), and any unpaid VAT also attracts the late-payment fine plus interest (§47A(3)(b), §47A(4)) until it is settled.

Action: Complete the filing workflow immediately. Pay any VAT due plus late payment interest. Contact DIR if you need to discuss a payment plan.

I found an error in a submitted return - can I amend it?

Yes, you can submit an amended return through the DIR portal. Minor errors can sometimes be corrected in the next period's return.

Action: For a significant error, file an amended return. CoralLedger tracks amendments for audit purposes. Contact DIR for guidance on the correction process and on whether a specific error requires amendment.

Some transactions have data quality warnings - should I fix them?

Yes, data quality issues can affect your compliance score and may indicate errors in VAT calculations. Common issues include missing TINs, invalid dates, or VAT amount mismatches.

Action: Review and resolve all flagged transactions before completing Step 1 (Transaction Review). This ensures your filing is accurate and reduces audit risk.

Can I claim input VAT on all purchases?

No, input VAT can only be claimed on purchases directly related to your taxable business activities. Non-deductible items include:

Entertainment expenses

Personal use items

Purchases for exempt activities

Purchases without a valid tax invoice

Action: Review the VAT Act, 2014 for the complete list of non-deductible input VAT.
